Appointment Policies
Karen Dental is committed to providing quality dental care in a timely manner. To ensure optimal care, we require patients to arrive 15 minutes prior to scheduled appointments to complete necessary paperwork. We reserve the right to reschedule appointments if a patient arrives more than 15 minutes late.
New patients must complete registration forms prior to their initial examination. These forms can be accessed through our website or completed in our office before your appointment.
Cancellation Policy
We understand that circumstances may necessitate rescheduling appointments. We require a minimum of 24 hours’ notice for any cancellation or rescheduling. Failure to provide adequate notice may result in a cancellation fee of KSh [AMOUNT]. Repeated cancellations or missed appointments may result in dismissal from the practice.
Financial Policies
Payment is expected at the time of service unless prior arrangements have been made. We accept cash, major credit cards, mobile money transfers, and personal checks.
For treatments requiring multiple appointments, we offer payment plans with appropriate documentation and approval. A minimum deposit of 30% is required to initiate treatment.
Insurance claims are filed as a courtesy to our patients. We will assist in maximizing your benefits, but ultimate responsibility for understanding coverage limitations rests with the patient. Any amount not covered by insurance remains the patient’s responsibility.
Patient Records and Privacy
Karen Dental complies with all applicable privacy laws regarding the protection of personal health information. Our complete Privacy Policy is available upon request.
By accepting treatment, you consent to the use and disclosure of your health information for treatment, payment processing, and healthcare operations. You have the right to request restrictions on certain uses and disclosures of your health information.
Treatment Consent
All treatment recommendations are based on the professional judgment of our dental team. While we explain procedures, risks, benefits, and alternatives, you have the right to refuse treatment or request alternatives. However, refusal of recommended treatment may compromise optimal dental outcomes.
Dental treatment inherently involves risks, including but not limited to allergic reactions, pain, infection, swelling, bleeding, and damage to adjacent structures. Specific procedures may carry additional risks that will be explained prior to treatment.
Communication
By providing contact information, you consent to receive appointment reminders, treatment follow-ups, and practice information via phone, email, or text message. You may opt out of electronic communications at any time.
Clinical photographs may be taken for diagnostic purposes and become part of your dental record. Use of such images for educational or marketing purposes requires separate consent.
Practice Policies
We maintain a respectful environment for all patients and staff. Disruptive behavior, harassment, or failure to follow safety protocols may result in termination of the dentist-patient relationship.
Karen Dental reserves the right to dismiss patients who fail to comply with recommended treatment plans, repeatedly miss appointments, or demonstrate inappropriate behavior toward staff or other patients.
Minors
Parents or legal guardians must accompany minors (under 18 years) for their first appointment and sign consent forms. For subsequent visits, written authorization must be provided if a minor attends with another adult.
Changes to Terms
Karen Dental reserves the right to amend these Terms of Service. Notification of substantive changes will be provided through our website or during your next office visit.
Acceptance of Terms
By scheduling appointments and receiving services from Karen Dental, you acknowledge acceptance of these Terms of Service.
